Job Summary and Qualifications

We are seeking a Governing Board Liaison for Methodist Healthcare System who provide administrative support to the Board Chair. Maintenance of permanent corporate documentation for regulatory and legal review. Lead preparation for Board meetings, create agenda, & assemble Board packages. Liaising with Board or Committee Chairs with regard to the draft agenda. Coordinate meeting dates and board packet deadlines (reminder process followed). Materials received are formatted and collated into draft agenda within agreed timelines for review/checking by the Board Secretary and Senior Executive. What You Will Do In Your Role:

  • Meeting venues are booked
  • PowerPoint presentations are effectively supported
  • Catering is ordered and confirmed.
  • If expected attendees do not arrive, an attempt is made to contact them.
  • Teleconference arrangements are made when required.
  • Meeting schedule and Board member contact details are updated when changes occur and Board Members are correctly advised.
  • Board and Committee member attendance register maintained.
  • Training – Board members are assisted with course/seminar registrations and members’ training records are maintained.
  • Ensure agenda distribution lists and committee memberships are kept up to date. General Duties
  • Maintain the Boardroom facility and be fully adept with the AV equipment in the Boardroom.
  • Maintain information storage and retrieval systems, both in computerized and manual form.
  • Provide administrative support for the Board Chair and others as needed.
  • Perform other duties as assigned.

What qualifications you will need:

  • 5 years’ experience in a senior executive support role
  • Minute taking experience (additional experience in a senior executive support role may substitute for absence of minute taking experience)
  • Experience in the Health Sector a plus
  • Desire to learn and train
